 EXHIBIT FLOOR HOURS

These are the hours the main exhibit floor will be open to the general public: 

Friday, November 3: 3:00PM to 8:00PM
Saturday, November 4: 10:00AM to 7:00PM
Sunday, November 5: 10:00AM to 5:00PM

 

EXHIBIT SPACE ASSIGNMENTS

Please refer to the welcome email you received for your exhibit space assignment(s).

 

EXHIBITOR CHECK-IN & REGISTRATION HOURS

You are required to check in at Exhibitor Registration prior to unloading. Exhibitor Registration is located on the southwest corner of Hall C. Registration hours are as follows:

Thursday, November 2: 8:00AM to 6:00PM
Friday, November 3: 8:00AM to 4:00PM
Saturday, November 4: 8:00AM to 4:00PM
Sunday, November 5: 8:00AM to 6:00PM

IMPORTANT: Exhibit spaces must be occupied and completely set up by Friday, November 3 at 2:00PM. Any exhibit spaces not occupied after this cut-off will be considered abandoned and forfeited without refund. If you anticipate needing additional time to set up, please make a request in advance by emailing Exhibit Floor Manager Mike Eutizi at meutiz@tucsoncomic-con.com.

Exhibitor staff and personnel wishing to enter the exhibit floor must wear an Exhibitor Badge at all times during move-in, during the show and during move-out. Access to the exhibit floor begins at 8:00AM on show days. For exhibitors that are still in need of a badge, one may be obtained at Exhibitor Registration (southwest corner of Hall C).

Only booth personnel wearing an exhibitor badge or individuals who have made prior arrangements for meetings may enter the exhibition hall prior to show hours. Please stop by Exhibitor Registration on-site to make proper arrangements if you haven’t already done so.

 

EXHIBITOR LOAD-IN

Any exhibitor in need of an “off-target” load-in should make a request in advance to Exhibit Floor Manager Mike Eutizi at meutiz@tucsoncomic-con.com.

ALL BOXES AND OTHER CONTAINERS MUST BE OFF THE FLOOR AND AISLES BY FRIDAY, NOVEMBER 3 AT 2:00PM.

 

ADDITIONAL EXHIBITOR BADGES

Additional exhibitor badges may be purchased for $35.00 each. Please be aware of the following limitations:

  • Each 10×10 booth space is allowed a maximum of 4 additional badges
  • Each Artist Alley table is allowed a maximum of 2 additional badges

To place an order for additional exhibitor badges, please email exhibitors@tucsoncomic-con.com and reference your booth or table number(s).

 

ADDITIONAL EXHIBITOR TABLES (10×10 BOOTH SPACES ONLY)

Inline and corner booths each include ONE 8’ x 30” table. If you need to purchase an additional table for your booth, please contact exhibitors@tucsoncomic-con.com prior to October 25, 2017.

 

INSPECTION DEADLINE

Any booth not occupied by 2:00PM on Friday, November 3, 2017 will be considered abandoned and forfeited without refund. If you need additional time to set up, please make this request in advance by contacting Exhibit Floor Manager Mike Eutizi at meutiz@tucsoncomic-con.com.

Exhibitors are not permitted to break down their exhibit spaces prior to Sunday, November 5, 2017 at 5:00PM.

TAX INFORMATION FOR EXHIBITORS

Both the State of Arizona and the City of Tucson require that any vendor selling merchandise (either resale or original creations) or services (autographs, photos, selfies, etc.) obtains temporary permits for the collection of sales tax. Tucson Comic-Con has no role in this process other than to provide links to the forms for the convenience of our exhibitors and creators. The following forms are available to download here:

State of Arizona Transaction Privilege Tax Application ($12.00 fee)
City of Tucson Business License Application ($25.00 fee)

Any questions or concerns regarding these applications should be directed to the State and City Departments of Revenue, respectively. Tax inspectors will be on-site during load-in to verify that exhibitors have completed and paid for the necessary tax and business licensing. To expedite your exhibit area load-in and setup, we advise that you have all forms submitted at least two weeks prior to the show.

 

EXHIBITOR REGULATIONS

All exhibitors and guests must adhere to the following regulations. Failure to comply with these rules may result in expulsion from the event!

BOOTLEG POLICY
The buying and/or selling of counterfeit, knock-off and/or unlicensed materials is not tolerated at Tucson Comic-Con. Bootlegs have no place in the show. Violation of this rule will result in one and only one warning. A second violation will get you removed from the show and you will not be welcome back at future shows.

DEMONSTRATION AREAS
Demonstration areas must be confined within your exhibit space so as not to interfere with any traffic in the aisles. Exhibitors must contract sufficient space to be able to comply with this rule. When large crowds gather to watch a demonstration and interfere with the flow of traffic down the aisles, or create excessive crowds at neighboring booths, it is an infringement on the rights of other exhibitors. Aisles may not be obstructed at any time.

DEMONSTRATION EQUIPMENT
Equipment, products or machinery, when displayed to demonstrate or simulate industrial applications, are exempt from the foregoing height limits, but are restricted only by ceiling height, as well as building and safety codes. However, equipment may not obstruct the aisles or invade on neighboring exhibitors’ spaces.

SIGNAGE
No signs or decorative materials may protrude into the aisles or encroach upon neighboring booths. No obstructions may be placed in any aisle, passageways, lobbies, or exits, or in front of fire extinguishing appliances.

GRAPHICS ON NEIGHBOR’S SIDE
The backside of walls – the common border facing a neighboring booth – must be finished, neutral/clear of copy, logos, or other graphics, so as not to be an eyesore to neighboring exhibitors.

GOOD TASTE AND RIGHTS OF OTHERS
Show management may require any exhibitor to make changes to their exhibit if, in the show management’s opinion, the exhibit does not conform to prevailing standards.

SOUND LEVELS
Sound volume levels should be kept within the confines of your exhibit area and must not interfere with neighboring exhibits. Show management will exercise their right to provide and maintain a fair exhibiting environment to all exhibitors and attendees. Each exhibitor is entitled to an atmosphere that is appropriate for conducting business without excess noise from other exhibitors. Excessive volume can also be offensive and distracting to attendees. Any audio equipment (e.g. sound systems, audio from a video wall, microphones, etc.), whether in the exhibitor area or as part of a display, may not exceed a sound level of eighty-five (85) decibels (dB). Tucson Comic-Con staff will be sensitive and responsive to complaints registered by spectators, neighboring exhibitors or other personnel, and will have appointees to respond to all complaints.

The playback of commercial music in exhibit areas without the proper licensing from ASCAP is not permitted. Exhibitors found in violation of this rule will only receive one warning. A second violation will result in being ejected from the show. Please visit ASCAP’s Licensing Site for more information on how to obtain a license.
